🛠️ EA Team @ Bloom & Wild Group
The Executive Assistant Team sits within our People organisation, reporting directly to the VP of People and with dotted lines to our CEO. The overall Bloom & Wild team is now over 400 people across 3 countries.
The role of the EA Team is to support our Exec and VPs to be the best leaders they can for our business. Using our organisational, logistical and problem solving skills, we aim to bring fresh perspectives to current processes so that the Leadership Team can better utilise their time and resources. We keep on top of all admin tasks around diary and inbox management, and have autonomy in doing so.
We’re looking for an EA to join us for 12-months to cover a period of parental leave. Start date will be Tuesday 26th November.
This role has 3 focuses:
1) Supporting Aron Gelbard (our CEO & Co-Founder)
2) Supporting Joe Tinston (Chief Product & Technology Officer) and Steve Janaway (VP Engineering)
3) Overall responsibility for our EA team (2 other EAs)
The role is hybrid, but you’ll need to be in the office at least once a week to connect with the team, and support meetings and events.
⚙️ EA to Aron
- Diary and time management to anticipate priorities
- Act as a gatekeeper, monitoring and managing incoming email/mail – responding and delegating as needed
- Schedule meetings - determine attendees, set up invites, prepare/distribute agendas, briefings for guest speakers and attendees, as well as venue bookings, VC/dial-in setup, equipment and catering as necessary
- Support projects that Aron is involved in, and support broader People team projects
- Manage and maintain meeting agendas for regular meetings for the Exec Team and Senior Leadership Team
- Attend ad hoc meetings as required, taking notes and minutes enabling succinct and accurate transfer of information
- Look after travel, accommodation and transfer bookings - taking into account the most budget savvy choice
- Plan and coordinate team off-sites, including venue selection, travel & transfers, catering and note taking
- Complete and submit expense claims
- Observe and contribute to internal team culture on a company wide scale to increase communication and team morale (e.g. organisation of content for team stand ups and Monthly Meetings)
- Schedule all necessary Board meetings (and any prep meetings ahead of time) and ensure the Board are kept up to date on timings and logistics.
- Bi-weekly meeting tracking for Aron to ensure his time is being spent in the areas of highest priority
👨💻 EA to Joe & Steve
- Diary and time management, scheduling meetings as needed
- Book travel, accommodation and transfers
- Create slides and documents for internal and external use/presentations
- Supporting end-to-end event management for offsites, squad assembles, external events and socials
- Owning the facilitation of certain regular team meetings; agendas, content, slides, logistics and note taking (when needed)
- Support projects Joe and Steve are involved in and support broader People team projects
- Complete and submit expense claims
- Social and travel budget tracking
- Team Health Check coordination - scheduling, launching, report creation for results, support on actions and tracking
- Stakeholder team L&D Planning
🌻 Team management
- Responsible for team wellbeing and fostering a happy and cared-for team
- Weekly 1:1s with each of the EAs to ensure they feel supported, engaged and set up for success
- Weekly team meetings to ensure effective transfer of information and knowledge sharing
- Half yearly performance reviews, checking-in on personal and professional goals, and creating new ones to align with career direction
- Quarterly workshops to create OKRs + strategic direction and purpose

- Have 5-8 years experience as an EA, likely gained in a fast paced, high growth, start up environment
- Can demonstrate some experience in managing or coaching others
- You care about the detail - you’re methodical and precise and take a thoughtful approach to planning and prioritising your work
- You have excellent written skills and are able to respond accurately and appropriately to a range of stakeholders
- You have a collaborative style that enables you to work with a range of different people and teams and allows for open and inclusive discussion
- High level of integrity
- You're a solid team player and enthusiastic, passionate and keen to deliver impactful results
- Intellectually curious and excited about problem-solving with others
- Proactive project manager - you take responsibility and initiative to get things done, are willing to roll up your sleeves and get stuck in
- Comprehensive understanding of Microsoft Office and G-Suite
