The HR Service Manager is a key position taking responsibility for the processes for Local Markets and adhering to Local Market standard processes for supporting the On-boarding team and owning monthly payroll. You will act as the interface between our payroll providers and our operations team.
The role of the position is to support the onboarding team to ensure successful onboarding documentation is provided in a timely manner. You will also be responsible for supporting the monthly consultants to assist them during the workers entire employment life cycle. You will work with the monthly consultants to ensure all workers are paid on time.
Key Responsibilities
- Work with the onboarding team to ensure compliant local market documents (ie contracts) are provided in a timely manner
- Gather all the necessary information from the workers to ensure the expected hire date is achieved
- Review & approve/suggest changes in line with local laws draft worker contract created by the onboarding team
- Adapt and write contract clauses/addendums etc by working close with the in-country advisor
- Issue employment contract to the worker
- Liaise with Local Accountant to ensure the worker is registered with the local labor authorities
- Act as the point of contact for workers and onboarding specialist during onboarding
- Responsible for checking & approving the monthly payroll files with worker data and received inputs
- Review the expenses submitted by the monthly consultants to ensure local reimbursement compliance.
- Update the expenses report after checking and send with receipts to Finance team
- Review & check employee submitted documentation for sickness and overtime (& other local requirements)
- Update employee’s data on Global
- Create change letters as request by monthly consultants
- Issue changes letters to workers (Bonus, Commission, Salary increase) for workers & upload to Global
- Request the invoice and cost report from the Finance and check if accurate
- Send the monthly worker invoice to the monthly consultants for payment
- Responsible for requesting the workers’ pay slips from the local accountant. Check accuracy & approve. Once approved upload the payslips to the worker’s Global account
- Responsible for keeping Knowledge Zone up to date with employment information, tax changes, employment changes
- Notify monthly consultants proactively of any upcoming changes for them to advise clients/workers
- Have an in-depth knowledge of the country specifics related to on/off-boarding & the payroll process
- Assist workers during the off-boarding process. Communicate the change to the Finance team
- Ensure a smooth termination process by closely working with the monthly consultants & related stakeholders
- Support the monthly consultants with advice relating to compliant offboarding utilizing HRSMs
- Work with the operations team to ensure SOP’s are documented, maintained and reviewed for changes
- Bank detail change process
What we’re looking for:
- Bachelor's degree in Industrial Relations, in Human Resources Management or in a related field
- A minimum of (1) year of experience as a generalist in a Human Resources role, preferably in a company of international scope;
- Knowledge of the legislations and rules applicable to fields of responsibilities
- HR experience: Management of Employment Terminations is essential
- Experience in advising on complicated Employment Relations Issues
- Payroll experience is desirable.
