Position: Company Secretary Trainee
Role Overview: This role involves supporting the preparation and filing of necessary documents, managing corporate records, and assisting in various compliance-related tasks to maintain the company’s good standing.
Key Responsibilities:
A. Statutory Document Management:
- Assist in the preparation and timely filing of statutory documents required
- Ensure all corporate filings are accurate and submitted within regulatory deadlines.
- Internal document/data management
B. Board Meeting Organization:
- Support in scheduling and documentation of board meetings.
- Draft minutes of board meetings and maintain comprehensive records.
C. Corporate Records Management:
- Help manage and update corporate records, including shareholder registers and other essential company filings.
- Ensure proper documentation and maintenance of all company records.
D. Documentation and Reporting:
- Assist in preparing presentations, reports, and various documentation as required.
- Contribute to the preparation of annual reports, company registrations, and compliance certificates.
E. Policy and Procedure Implementation:
- Support the implementation and monitoring of company policies and procedures.
- Assist in ensuring adherence to company policies and regulatory requirements.
F. Compliance and Audits:
- Aid in preparing for audits and regulatory inspections.
- Conduct research on legal and regulatory issues impacting the company and assist in analyzing compliance requirements.
G. Regulatory Research and Analysis:
- Perform research on relevant legal and regulatory matters affecting the organization.
- Prepare recommendations based on analysis of compliance requirements and regulatory changes.
Qualifications:
- Familiarity with corporate compliance and regulatory requirements.
- CS qualified or pursuing must have cleared CS-Executive (mandatory) in first attempt, law graduate (desirable).
Preferred Skills:
- Knowledge of Companies’ act 2013 & related rules/regulations.
- Knowledge of MS-office applications
- PRO-ACTIVE approach, learning mindset, strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work effectively under pressure and manage multiple tasks.
- Comfortable working in team environment/coordinate with various departments
